Bookkeeper resume examples
Show what you recorded, reconciled and prepared, and who reviewed it. These fictional examples keep bookkeeping separate from accounting judgment and invent no balances or audit outcomes.

What the hiring manager needs to see
The BLS Occupational Outlook Handbook profile of bookkeeping, accounting and auditing clerks, accessed October 16, 2026, describes the occupation's duties nationally. Use it to find relevant experience, not as a list of skills you automatically have. Employer policies and state rules may be narrower.
Use the skills guide to tie each software skill to a task, and the worksheet for accomplishments without numbers before adding any figure.
A bookkeeper resume should state the cadence of your work, the systems you used and where your responsibility ended. Name the reconciliations, payables, receivables and payroll inputs you handled. Say who approved adjustments and who reviewed the close. Preparing a trial balance is not the same as signing financial statements, filing tax returns or giving an audit opinion.
Name the software you actually used, such as QuickBooks Online, Xero or NetSuite, and the modules you worked in. A certificate such as the Certified Bookkeeper credential is different from a CPA license. List only credentials you hold, with the issuer.
Questions to ask before writing
- Which accounts did you reconcile, how often, and in which system?
- What happened to unmatched items, and who approved adjustments?
- Which parts of payables and receivables did you own?
- Did you enter payroll, or did you also file payroll taxes?
- What was your part of the month-end close, and who reviewed it?
- Were you the only bookkeeper, or part of a team?
- Which figures can you share without disclosing confidential financial records?
Answer with a specific shift, week or task. Name the system you used and who approved exceptions. If you cannot verify a count, leave it out.
Before, the spoken answer and the rewrite
Morgan Diaz is a fictional bookkeeper at a fictional contracting company. The rewritten bullet uses only facts from its spoken answer. Do not copy a bullet unless it describes your work.
Before
Did bank reconciliations.
The question
How often did you reconcile, and what did you do with differences?
They said
Every month I reconciled 4 bank accounts and 2 credit cards in QuickBooks Online. Unmatched items I researched and listed for the controller to approve before I posted adjustments.
After
Reconciled 4 bank accounts and 2 credit cards monthly in QuickBooks Online, researching unmatched items and posting adjustments after controller approval.
Before
Paid bills.
The question
Which parts of accounts payable did you own?
They said
I entered vendor bills, matched them to purchase orders and receipts, and set up the weekly payment batch. The owner approved and released payments.
After
Entered vendor bills, matched them to purchase orders and receiving records, and prepared weekly payment batches for owner approval and release.
Before
Handled invoices.
The question
What did you do in accounts receivable?
They said
I created customer invoices from signed work orders, applied payments and sent the monthly aging report to the controller. Collections calls went to the office manager.
After
Created customer invoices from signed work orders, applied incoming payments and sent the monthly aging report to the controller.
Before
Did payroll.
The question
What did you do for payroll, and what did the provider handle?
They said
I checked timesheets against the schedule, entered hours in Gusto and sent questions to the manager. Gusto filed the payroll taxes.
After
Checked timesheets against schedules and entered hours in Gusto for payroll processing, sending discrepancies to the manager.
Before
Helped with month-end.
The question
What was your part of the close, and who reviewed it?
They said
I recorded the recurring journal entries from the close checklist, updated the prepaid schedule and handed the trial balance to the outside CPA for review.
After
Recorded recurring journal entries from the month-end checklist, updated the prepaid expense schedule and prepared the trial balance for review by the outside CPA.
Entry-level and experienced applications
For an entry-level bookkeeper resume, describe coursework, a volunteer treasurer role or accounts work in another job with accurate labels. Tracking a club budget in a spreadsheet is relevant; it is not full-cycle bookkeeping. Name the software you practiced on and whether it was a course license or live company books.
For a senior or full-charge bookkeeper role, explain which cycles you ran without supervision and which a controller or CPA reviewed. Distinguish preparing the close from approving it. Training a new clerk is different from managing an accounting team.
Use reverse chronological order with real job titles and dates. Put current credentials in their own section with the issuer and status. Do not list a credential as earned while you are still preparing for it.

What not to claim
- Audit, tax filing or financial-statement sign-off when an outside CPA or controller performed it.
- A CPA, EA or other credential you do not hold. Bookkeeping certificates and accounting licenses are not interchangeable.
- Invented balances, savings, error rates or clean audit results. A clean audit belongs to the business and its auditors, not to one bookkeeper's resume line.
- Client names, account numbers, revenue figures or other confidential financial information without permission.
- Authority to approve payments, write off balances or change controls if a manager held that authority.

Questions
- Should a bookkeeper resume include dollar amounts?
- Only figures you may disclose and can explain, such as the number of accounts reconciled. Do not publish confidential balances or claim savings you cannot attribute to your work.
- What is the difference between bookkeeping and accounting on a resume?
- Bookkeeping covers recording, reconciling and preparing records. Accounting judgment, such as reviewing the close, preparing tax returns or issuing statements, belongs on your resume only if you performed it.
- Do I need to list every accounting system?
- No. List systems you have used and can discuss. Say which modules you worked in rather than implying full administration.
